'K-BEAUTY EXPO KOREA 2024' Rules and Regulations

Article 1 / Definition
1. “Exhibition” refers to ‘K-BEAUTY EXPO KOREA 2024’
2. “Organizer” refers to ‘KINTEX’
3. “Exhibitor” refers to individual, company, organization or group applying for participation in the Exhibition.


Article 2 / Exhibition application and agreement
1. A party who intends to participate in the Exhibition shall fill out the application form, receive approval from the KINTEX and pay the total participation fee by bank transfer in 7 business days.
2. After the application form is submitted, in the event that KINTEX fails to approve the application in order to preserve the harmonious operation of the exhibition, the agreement shall not be in effect.
3. Participation fee per (1) booth (3m*3m) is USD 4,200 for raw space and USD 4,500 for the standard package.
4. Technical support and standard package construction will be provided by the Organizer upon the request of the exhibitor. In case of any alternation in the technical support request, the exhibitor shall inform the Organizer in a prompt manner. Any disadvantage which occurs due to the failure of the Exhibitor to inform the Organizer in a timely manner is the Exhibitor’s responsibility.


Article 3 / Assignment of Exhibition Booth
1. The Organizer has the right to assign booth location without any objection by the Exhibitor. According to the order in which the application and payment is received, booth location will be assigned by taking into consideration country, item, size, exhibition results and other reasonable matters.
2. The Organizer may change the allocated booth location when deemed necessary in regard to spacing harmony, viewing efficiency and exhibition effectiveness. Such changes will be at the discretion of the Organizer and are not subject to any objection by the Exhibitor.


Article 4 / Exhibition Management
1. The Exhibitor shall display the items listed in the application and have a representative at the booth at all times.
2. If the Exhibitor displays items not listed in the application or if displayed item does not fit the nature of the exhibition, or if the Exhibitor conducts direct sales without approval from the Organizer, the Organizer can require the Exhibitor to cease display, withdraw or dismantle the item in question. In such an event, the participation fee is not refundable, nor can the Exhibitor request compensation.
3. The Organizer has the right to prohibit individuals from the exhibition, if deemed necessary.
4. The Exhibitor cannot use non-designated areas for the exhibit without prior approval.
5. The Exhibitor cannot use a speaker or amplifier without prior approval from the Organizer. Loud activities are strictly prohibited.
6. In the event of damage to the Organizer's property caused by the Exhibitor such as paint on the floor/ceiling/wall, the Exhibitor is liable for any reasonable compensation requested by the Organizer.


Article 5 / Payment
1. The Exhibitor shall submit the application online via the Exhibition’s official website.
2. The Exhibitor shall make a payment of the total participation fee in 7 business days after submitting the application.
3. In the event that the Exhibitor fails to pay 100% of the participation fee by the designated deadline, the Organizer may cancel the contract without refund. Such matters will be resolved according to Article 6 and 7 in Rules and Regulations.


Article 6 / Termination of the Agreement (Exhibition Cancellation) and Penalty
1. The Exhibitor cannot assign the contract, sub-let or part with his site or stand or any portion of it without prior written consent from the Organizer. If the Exhibitor breaches these terms, its participation in the exhibition can be cancelled without claim for a refund.
2. In the event that the Exhibitor does not pay the participation fee within the designated period, 14 days notice will be given to him/her to make the payment. If following this grace period the payment is not made, the Organizer has the right to cancel the exhibition contract with no claim for a refund by the Exhibitor. In case the Exhibitor cancels or refuses the use of all or part of the space, the Exhibitor shall inform KINTEX in writing and pay a penalty as described below within 14 days. The penalty will be deducted from the paid participation fee, and in the event of insufficient funds, the Exhibitor shall pay the additional amount, with any surplus to be returned to the Exhibitor.
* Cancellation Penalty
- Application date - July 31st, 2024 : 50% of participation fee
- August 1st - August 31st, 2024 : 80% of participation fee
- After September 1st, 2024 : 100% of participation fee


Article 7 / Cancellation of Exhibition/Alteration
In the event of cancellation or date change of the exhibition due to act of God or other causes not the fault of the Organizer, exhibition fees already paid by the Exhibitor will not be refunded and the Exhibitor is not entitled to compensation.


Article 8 / Display of items
1. Exhibitor shall complete installment, entrance and display of the items by the designated date. In case of items not being displayed by 8pm on October 16th, 2024, the Organizer has the right to temporarily cancel the Exhibitor's participation in the Exhibition and request compensation.
2. Installation can take place from 8am to 8pm. If additional working hours are required, an application for additional work shall be submitted with the Exhibitor subject to additional charges.


Article 9 / Restoration
Following the completion of the Exhibition, the Exhibitor shall restore the booth space to its original state and be liable for any related expenses/losses.


Article 10 / Security and Safety
1. The Organizer shall take the proper actions to secure the safety of the Exhibitor and visitors.
2. The Exhibitor is fully liable for any damages or losses occurred during the preparation, the Exhibition itself and while dismantling is taking place.
3. If the Exhibitor intentionally causes fire, damage, loss or another accident resulting in damage or losses to the Organizer or any 3rd party, the Exhibitor shall be held fully liable for covering the costs of all damaged materials and items.
4. Exhibitors shall confirm exhibition stand conditions including items for exhibit prior to the exhibition site opening time in order not to cause any problems or safety issues when the halls open, and then leave the site after their daily safety check.
5. To protect the exhibition site during the exhibition period (inclusive of preparation & stand dismantling periods), a security service will be provided by the Organizer.
6. Exhibitors shall take action such as subscribing to insurance in order to prevent personal injury and/or property loss or damage.
7. Exhibitors shall be responsible for the overall protection of all their exhibit products and related equipment and facilities, as well as other accidents within the exhibition site. In the event of accident, exhibitors shall notify the Organizer immediately and not hold the Organizer accountable.
8. Exhibitors are obliged to protect all the facilities installed by the Organizer and shall restore them to their original state if lost or damaged by the exhibitor (including cooperating companies).
9. Exhibitors shall notify their designated cooperating companies of the rules and regulations of KINTEX in advance and take full responsibility for any non-compliance by exhibitor cooperating companies. Exhibitors shall provide a list of ‘Safety Guide of On-site Representative by Event Field(In 13-1-5 of KINTEX Organized Events Safety Management Guidelines)’ to their designated cooperating companies and submit it to the Organizer by Sep. 30th, 2024.
10. Exhibitors shall not operate machines while standing in corridors. Exhibitor safety personnel shall be stationed appropriately in order to ensure safety.
11. Bringing hazardous materials, including explosives and inflammable substances, into the exhibition site is prohibited. However, if exhibitors intend to bring in such materials unavoidably for the operation of exhibit products, they shall submit the ‘Application for Approval of Use of Hazardous Materials’ to the Organizer by Sep. 30th, 2024.
12. When using electricityㆍgasㆍcompressed airㆍwater supply and drainage, the respective responsible persons of the service provider shall check the facilities inside booths and provide conditions for the prevention of safety accidents. After the opening hours of the exhibition at the end of each day, exhibitors shall make sure to check if proper safety measures have been followed. If substandard materials are found, exhibitors shall initiate repair work and notify the Organizer immediately.


Article 11 / Fire Safety
1. All materials and items must be fire resistant according to the safety regulations.
2. The Organizer may ask the Exhibitor for modifications to the display for the sake of fire prevention if deemed necessary.


Article 12 / Loading Dock
1. During the move-in and move-out period, no vehicles, except for vehicles for loading & unloading work, may park or stop in the loading, unloading, and the move-in and move-out areas. After unloading exhibit products and equipment, vehicles must be moved immediately in order not to interrupt the flow of traffic. All vehicles entering the exhibition site shall observe the speed limit. (Speed limit : less than 10km/h)
2. During the move-in and move-out period, no vehicles, no passenger cars or shared-ride vehicles (inclusive of SUVs) may enter the cargo parking lot.


Article 13 / Restriction of Participation
1. Where Exhibitors commits an act that damages the dignity or honor of the Organizer during the Exhibition and follow-up management stage of the Exhibition, the Organizer may restrict the Exhibitors’ participation in the following Exhibition or impose other disadvantages.


Article 14 / Amendment
1. The Organizer reserves the right to modify at any time the provisions of the present rules & regulation; the Exhibitor shall comply with the modifications.
2. The Exhibitors must comply with the regulations of the Organizer.


Article 15 / Disputes
1. Exhibitors shall comply with the rules and regulations of KINTEX including this regulation and will be held responsible for any problems resulting from non-compliance.
2. In regard to any disputes that may arise concerning the interpretation of the present rules & regulations, the Organizer and the Exhibitor proceed with lawsuit, having the competent court as Uijeongbu District Court Goyang Branch.

Privacy Policy

1. Your privacy is very important to us. Accordingly, we have developed this Policy in order for you to understand how we collect, use, communicate, disclose and make use of personal information. The following outlines our privacy policy. Please read thoroughly and check the box if you agree.


2. The company collects the following personal information for exhibitors' application for participation in the exhibition.
① Collecting items: company name, representative name, E-mail
② Personal information collection method: Online exhibition participation application


3. The purpose of collecting information is to use the service more safely and comfortably based on the trust of members, and to provide the service smoothly to members through the site, and is always collected with the consent of the members. The company does not disclose users' personal information without prior consent of the member, and the collected information is used as follows.
① Confirmation of participation application, change and cancellation
② Contract information and exhibition booth allocation
③ Confirmation of payment of participation fee and related information
④ Information on display and removal of exhibits and related safety regulations
⑤ Other information necessary for participation in the exhibition Other information necessary for participation in the exhibition


4. As a member, while receiving the services provided by the company, your information is retained by the company and used to provide the service. However, in the event of a request for cancellation, it will be deleted in a way that cannot be reproduced.
Records on consumer complaints or dispute settlement: 3 years (Act on Consumer Protection in Electronic Commerce, etc.)
Records on contract or subscription withdrawal: 5 years (Act on Consumer Protection in Electronic Commerce, etc.)
Records on payment and supply of goods, etc.: 5 years (Act on Consumer Protection in Electronic Commerce, etc.)


5. The information entered by the member for registration, etc., is transferred to a separate DB after the purpose is achieved (separate filing cabinet in the case of paper) and according to the reasons for information protection according to internal policies and other related laws (refer to retention and usage period) It is destroyed after being stored for a certain period. Personal information transferred to a separate DB is not used for any purpose other than to be retained unless required by law.


6. Users and legal representatives can view or modify their registered personal information or the personal information of children under the age of 14 at any time, and may request termination. For inquiries and correction of personal information of users or children under the age of 14, contact the person in charge of personal information management in writing, by phone, or by e-mail, and we will take action without delay. If you request correction of errors in personal information, we will not use or provide the personal information until the correction is completed.


7. The company may change this privacy policy to revise laws and related laws or provide better services, and when changes are made, we will notify you through notice.
